6 profitable tips to optimize your SR&ED tax credits
By Marco Cipolla, ing., founder of Cipolla R&D Consultants inc.
Considering the importance of the program for innovative Canadian companies, and taking into account the requirements of the Canada Revenue Agency, it becomes important to develop a strategy and procedures to facilitate the preparation and support of an application. These internal processes and mechanisms, carried out in real time over the course of a project, will allow you to :
- support an application more easily;
- reduce the effort required for the preparation of an application;
- foster more rigorous documentation practices;
- maximize requests for SR&ED tax credits.
Here are a few tips to consider for the development of effective procedures :
Take into account the environment in which you perform your work and the context of your business
Your environment will influence the way information is collected and compiled. Mechanisms for capturing information may vary according to whether: you carry out distinct and well-defined R&D projects; your business is in the start-up phase; or you perform R&D mainly in a factory setting. For example, a large multidisciplinary company in which several employees are involved in R&D work is likely to require more complex processes for the capture of information compared to a small start-up business. Identification and documentation methods for R&D projects meeting the eligibility criteria of the program differ if the projects are distinct and well formulated, with a clearly defined beginning and end, or in the case of larger-scale projects, are multi-year and long-term.
Establish mechanisms to identify eligible projects from their beginnings
It is important to plan for mechanisms that differentiate eligible activities from those that are not within an eligible R&D project. These mechanisms will be crucial to arrive at a fair allocation of SR&ED labour expenses.

Establish mechanisms that allow you to make the link between eligible activities and associated expenditures
It is important that the processes and mechanisms used allow you to identify all employees associated with an R&D project and, more specifically, with the activities of an R&D project. The mechanisms and processes must be able to demonstrate a fair allocation of labour expenses for the project.
Establish mechanisms to archive all relevant documentation
It is important to preserve proof to substantiate the work performed and expenses incurred in support of your application. In fact, it is possible that you will be requested to produce this evidence as part of a review by the government. It is therefore important to centralize all information generated over the course of the project as work is carried out.
Plan for periodic information sessions
It is advisable to keep key employees involved in R&D work and those involved in the preparation of applications well informed about policies affecting the R&D tax credit program. This also allows the company to develop its strategy to maximize the credits to which it is potentially entitled.
